Olivra™ (“Olivra,” “we,” “our,” or “us”) respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, disclose, and protect information when you use our platform, website, and related services (collectively, the “Services”).
By accessing or using Olivra.io, you agree to this Privacy Policy. If you do not agree, please discontinue use of our Services.
2. Information We Collect
We collect information to operate effectively and deliver automated trade compliance program management. This includes:
a. Information You Provide
- Account data: name, email address, organization, authentication credentials
- Billing information: Payment information is not collected during the pilot program.
- Content uploads: documents, SOPs, invoices, packing lists, transport documents, regulatory bulletins, or internal policies you upload
- Communications: demo requests, support messages, or feedback
b. Information We Collect Automatically
- Usage data: pages visited, time spent, browser type, and device identifiers
- Cookies & analytics: used to remember preferences and improve function
- Integration metadata: Integration features are not available during the pilot program.
c. Information from Third Parties
We may receive data from partners, integrations, or regulatory sources you authorize Olivra to monitor.
3. How We Use Information
- Operate, maintain, and improve the Olivra platform
- Provide customer support and process transactions
- Generate, validate, and maintain trade compliance programs; deliver regulatory monitoring, training modules, and audit documentation
- Personalize your experience and improve functionality
- Communicate feature updates, alerts, or system notices
- Comply with legal, regulatory, and security obligations
We never sell personal information. We do not use User Content, including uploaded compliance documents, to train AI models.
4. Legal Basis for Processing (EEA/UK Users)
- Contract performance — to deliver our Services
- Legitimate interests — to improve reliability, security, and usability
- Legal compliance — to meet regulatory or tax obligations
- Consent — for analytics or marketing communications
5. How We Share Information
- Service providers: cloud hosting, analytics, and payment vendors, all bound by confidentiality
- Legal or regulatory authorities: when required by law or court order
- Business transfers: in case of a merger or acquisition, users will be notified in advance
We never sell, rent, or trade user information.
6. Data Security
We employ industry-standard security controls, including encryption in transit and at rest, least-privilege access controls, and routine security audits.
Uploaded documents are stored in encrypted private storage buckets accessible only to authenticated members of your organization. Olivra employees do not access your compliance documents except as required to resolve a support issue you have initiated.
While we work to protect your information, no method of transmission or storage is 100% secure.
7. Data Retention
We retain information as necessary to:
- Provide the Services
- Maintain evidence bundles, audit logs, and version histories
- Meet legal and regulatory obligations
Default retention for compliance program data and evidence is five years.
8. Your Rights
Depending on your location, you may have rights to:
- Access, correct, or delete your data
- Object to processing or request restriction
- Receive a copy of your data (portability)
You may submit requests to privacy@olivra.io. We may verify your identity before responding.
9. International Transfers
Your information may be processed outside your country of residence, including in the United States. We use appropriate safeguards such as Standard Contractual Clauses (SCCs) when required by law.
10. Children's Privacy
Olivra is not directed to children under 16, and we do not knowingly collect personal information from minors. If such information is discovered, it will be deleted promptly.
11. Changes to This Policy
We may update this Privacy Policy periodically. The revised version will include a new Effective Date. Material changes will be communicated directly before taking effect.
